How do I create an appointment template?

Creating appointment templates is the first step in setting up your appointments schedule. They help you save time when booking sessions through your calendar.

To get started go to Services > Appointment > click the purple "+" button.

Next, fill out the template:

  • Appointment Name: This is the name that will display on the schedule.

  • Description: Member-facing description of the appointment (will display on the schedule & mobile app).

  • Duration (in minutes): How long does the appointment last?

  • Price: How much does one appointment cost?

  • Payment Category: Under which category would you like for payments made towards this appointment to be listed in reports.

  • Appointment Category: Under which category of appointments do you want this appointment to be displayed (ex. Personal Training, Consults, Nutrition, etc.)? You can manage your class categories directly from the Appointment Template!

  • Location: Where is this class taking place (i.e. a specific room, field, or location)?

  • Cancellation Policy: How soon before class can someone cancel their registration? The default is in hours, but minutes or days are also options.

  • Allow Online Booking: Do you want this class to be displayed on the class schedule link for members to book themselves?

  • Online Booking Restrictions: If online booking is enabled, do you want to restrict appointment access to specific memberships, anyone who pays, or is it a free session?

  • Assigned Coaches: Which staff members are available for this type of appointment?

  • Set Trainer Rate Override: If trainers get paid a different amount for this appointment than what is listed as their default rate (under Staff Rates), you can enter the override amount here.

Note: If a trainer is assigned to an appointment template, when a client books online they will have the option to select a trainer & view only session templates assigned to that trainer. 

Once filled out, make sure to click "Save" to complete the template.
