How do I set up the Gympass integration with Xplor Studio?

Gympass is a platform that unlocks new revenue streams through corporate clients, by enabling studios to offer fitness & wellness programs to corporate employees. The employees of the companies can use Gympass to book and access thousands of fitness facilities worldwide at a discounted rate, with the difference covered by the employer.

Xplor Studio's Gympass integration allows you to sync your studio's Class Schedule to Gympass.

Getting setup

First, you'll need to register as a partner with Gympass. You can start the process from the Gympass partner website here.

Once you're set up with a Gympass account, the Gympass partnerships team will contact the Xplor Studio support team requesting to activate the integration on your account (providing us with the necessary details). You will then be informed that the integration is ready to use.

Once confirmed, in your Xplor Studio integration settings you'll see that it's 'Activated', which means you're good to go:

How to use Gympass with Xplor Studio

On the Schedule/Roster class booking forms, you can choose whether the Class will be synchronized to Gympass using the on/off toggle (screenshot below).

The default behavior is that it is on for all new bookings, for example:

You also have the option to control the default on/off toggle at each Class template level, you can do this from Services > Classes.

How Gympass users book into your Class

Those customers who are using the Gympass App will see your studio's available classes/schedule and select a 'Book' button to book into your class. The booking will then immediately display in Xplor Studio's class booking, with these conditions:

  • If they are an existing Member in Xplor Studio, the booking is made under their existing account with you (identified by their email address).

  • If they haven't booked before, a new account will automatically be created within Xplor Studio, using the details provided from Gympass (name & email address).

How Gympass bookings appear in Xplor Studio

On Xplor Studio's side, the booked-in customer will appear in the roster list for the class and is identified by a special 'Gympass' tag, example below:

When the Gympass customer arrives for your Class, they must 'Check In' from the Gympass app, to confirm their attendance. Once they've done this, the status will change in Xplor Studio's roster from "Gympass check-in required" to "Gympass checked in" so the staff member knows, example below:

Important: A member of your staff will still need to mark the customer as 'Checked in' on the roster using the check-in button, just as they would for any other attendees. By confirming this check-in, it sends a signal to Gympass that the customer did indeed attend which will confirm the payment to be processed to you:
