Xplor Studio's Zoom integration allows you to schedule your online Zoom classes/appointments directly from the platform. Members will receive a link to the Zoom meeting in the booking confirmation email as well as being able to open the video stream directly from their bookings list found within the member's app.
*Note: the integration only supports "account-level" Zoom integration, not user-level. This means you can only connect one Zoom account to your Xplor Studio account, however, you can have multiple users within your Zoom account and have these mapped to multiple coaches within Studio. This way, each of your coaches are able to run Zoom classes at the same time without conflict.
Installation
If you don't already have a Zoom account you can sign up for one here.
Login to Xplor Studio, then head to Settings > Integrations
Within the Zoom section, select the 'Activate' button:
Next, you will be redirected to Zoom's website requesting to login/authenticate with your Zoom account's email and password.
Next, it will ask you to Authorize the Xplor Studio app to be installed on your Zoom account, for example:
Once you've allowed the application, you'll return to the Xplor Studio integrations page and will see an 'Activated' badge on the Zoom integration, for example:
In the final step, you'll need to map/link your available Zoom user licenses to your Xplor Studio coaches. Select the "Setup Users/Staff" button and map each user:
Note: Scopes/Permissions
The following Zoom scopes/permissions are required for the integration to function:
View all user meetings - This scope is used for listing meeting information in Xplor Studio so that the platform can see which Zoom meetings are scheduled.
View and manage all user meetings - This scope is used for viewing and managing meeting information in Xplor Studio so that the platform can create and/or modify Zoom meetings to sync with Studio's Schedule.
View all user information - This scope is used for viewing user information in Xplor Studio so that the platform can see the list of Zoom users that exist and be able to match them to coaches within Studio.
View users' information and manage users - This scope is used for viewing and managing user information in Xplor Studio so that the platform can create and/or modify Zoom users to sync with Studio's staff/coaches.
Usage
With the Zoom integration enabled, you are able to:
Automatically generate Zoom meeting links for chosen Appointment bookings.
Automatically generate Zoom meeting links for chosen Class bookings.
Members/participants will receive Zoom meeting links on email notifications, as well as within the member apps to easily join the scheduled live streams.
Enabling Zoom for a Class/Appointment
To activate a Zoom meeting for a particular appointment/class event, simply toggle ON the 'Zoom Online...' button found on the booking form's advanced settings, for example:
The following default Zoom Meeting options are applied:
Video for the Coach is ON
Video for the Member is OFF
Members are muted upon entry
Members must wait for the Coach to start the Zoom event
Starting a Zoom stream as a Coach
From the 'Schedule', select the class/appointment, then select the 'Start Zoom Video Stream' button. Example:
This will immediately start the Zoom meeting, and your attending members will also be able to join the event.
Joining a Zoom stream as a Member
As a Member added to an Appointment/Class with Zoom enabled, they will be able to use the 'Join Zoom Video Stream' buttons included on email booking confirmations and/or from within the member's area on both Web & Mobile where the event is listed in their upcoming bookings tab.
Uninstall Zoom integration
To uninstall the Zoom integration from your Xplor Studio account, follow these steps:
Login to Xplor Studio, then head to Settings > Integrations
Within the Zoom section, select the 'Options' button, then 'Remove':
To uninstall the Xplor Studio integration from your Zoom account:
Login to your Zoom account and navigate to the Zoom App Marketplace.
Click Manage > Installed Apps or search for the Xplor Studio app.
Click the Xplor Studio app.
Click Uninstall.
